Position Summary
APS seeks an Editorial Systems Assistant. The Editorial Systems Assistant works with our Editorial team to process various types of electronic correspondence and make accurate database entries related to scientific manuscripts. This full-time position is based at the American Physical Society Editorial Office in Ridge, New York, on Long Island (LIE exit 68 near Brookhaven National Laboratory and Stony Brook University).

A typical day of a Editorial Systems Assistant may look like...
  • Reads, interprets, and creates database records of incoming correspondence
  • Performs updates and/or corrections to manuscript files and databases
  • Processes receipt of submitted manuscripts and supplemental material
  • Formats files using the appropriate software application
  • Evaluates and processes various types of graphics files
  • Creates PDF manuscript files for Editorial, peer review, and for use in production
  • Inputs and maintains a wide range of database entries and flags
  • Communicates with authors regarding any unresolved issues. This may require composition of correspondence and/or completion of standard letters to include information relevant to the individual author
  • Maintains daily contact with Editorial Systems staff
  • Maintains routine contact with authors
This job may be for you, if you have the following qualifications:
  • Associate’s degree; BA/BS preferred (applicable experience in lieu of a degree will be considered)
  • Accurate keyboarding skills with minimum speed of 50 wpm
  • Technical skills and experience using database and software applications
  • Minimum of two years’ experience in electronic communications and text editing
  • Strong organization, documentation, and prioritization skills
  • Strong written and verbal communication skills
  • Excellent attention to detail
  • Ability to adapt to quickly changing schedules
  • Ability to work well with interdepartmental teams as well as independently
