Data Services Assistant

The American Physical Society (APS) is a nonprofit membership organization working to advance and diffuse the knowledge of physics through its outstanding research journals, scientific meetings, and education, outreach, advocacy, and international activities. APS represents over 55,000 members, including physicists in academia, national laboratories, and industry in the United States and throughout the world. Society offices are located in College Park, MD (Headquarters), Ridge, NY, and Washington, D.C.


Position Summary:
Processes incoming correspondence, including author, referee and production correspondence. Enters and/or verifies manuscript metadata for new submissions and resubmissions. 
A cover letter must be provided for consideration.


A Typical Week May Look Like This:
  • Processes incoming digital correspondence
  • Enters and/or verifies manuscript metadata, correcting database entries upon request
  • Evaluates and confirms the overall integrity of database notations
  • Calculates length checks and recounts on length constrained article types
  • Handles queries from other staff members, troubleshooting database entries and other related problems as they arise
  • Participates in quality control efforts
  • Participates in special projects as assigned
  • Documents and updates user procedures
  • Maintains contact with Editorial, Editorial Systems and Journal and Data Services staff


Is This You:
  • HS diploma or equivalent required
  • At least two years’ experience working in a data entry environment is desirable
  • Strong computer skills is essential
  • Ability to process a large volume of correspondence with extremely high accuracy
  • Excellent attention to detail
  • Strong organization, documentation, and prioritization skills
  • Strong written and verbal communication skills
  • Ability to work well with interdepartmental teams as well as independently


Work Environment:
  • Most work performed in an office environment
  • Incumbent may sit for long periods of time at desk or computer terminal
  • Incumbent may use calculators, keyboards, telephone and other office equipment
  • Stooping, bending, twisting, and reaching maybe required in completion of job responsibilities
  • Flexible work hours to accommodate the time differences for meetings and events as requested
  • Ability to lift up to 10 lbs. as part of job responsibilities


Travel: 
Position may require some business travel to attend meetings and events as directed by supervisor.
