Position Summary:

Want to join a dynamic team that develops and implements a range of programs that improve physics education, impact policy makers, increase diversity, inform the public about the importance of physics? Then joining the APS Meetings Department that hosts annual meetings attended by thousands of physicists, scientists, and journalists as the Programs Assistant is ideal for you.

By working as a Programs Assistant, you would be functioning as a key team member carrying out the department‘s responsibility of processing and maintaining abstract data seen by people from around the world. Our Programs Assistant will work out of our College Park, Maryland office and will work in a hybrid schedule to work both on-site and remote as needed.

A Typical Week May Look Like This:

 
  • Assists with preparing abstract data for sorters meetings. Assists in ensuring accurate data entry regarding the association’s electronic databases and files for meeting events.

  • Assists with generating large data sets and manipulating data from excel or google sheets.

  • Assists with responding to high volumes of author inquiries to update abstract information.  Maintain and update abstract data, as needed

  • Makes edits to abstract data at the request of the submitting author.

  • Respond to written inquiries from abstract authors within two business days  involving author abstract submissions, while providing a high level of customer service.

  • Performs data entry including proofing data for accuracy.  

  • Performs and ensures accurate data entry of abstract information received from submitting authors.  

  • Assumes all responsibilities as delegated by the department management.

  • Researches and creates member account information using Nimble for members and non-members.  

  • Assist with additional departmental duties as assigned. Assisting with routine inquiries. 

  • Attention to detail in verbal and written correspondence.

  • Strong excel skills.
     

Is This You:

Education:  H.S Diploma or equivalent required. Associates degree, or some equivalent combination of work experience commensurate with work preferred.

Experience, Knowledge, Skills, and Abilities: 

 
  • Prior association or customer service center experience.
  • Strong data entry, editing and proofreading skills.
  • Sales Force/Nimble database experience, preferably.
  • Highly proficient in data entry, the ability to pay close attention to detail.
  • Strong written communication skills.
  • Advanced in Excel and Google Sheets while working with large data sets.

Travel: Travel may be required to assist with on-site registration or at the Abstract Help Desk at association events.
